West Wales Chess League – Committee Meeting Summary

Another productive West Wales Chess League committee meeting was recently held at the Plough and Harrow, Llangyfelach. A strong turnout of officers ensured a wide range of views were shared, with everyone contributing throughout.

Two rule change proposals were discussed and, following minor amendments, will be presented at the AGM in June. Full details will be shared in due course.

Our representative to the Welsh Chess Union, Bill Hewitt, provided an update covering several areas, including WCU finances, potential sponsorship opportunities, and the continued vacancy in the Finance Director role. Concerns were also raised regarding a lack of updates to the WCU website. Although Bill had previously considered stepping down from his various roles, he has now agreed to continue as Selection Representative. If you would like to see how you could represent the West Wales Chess League in relation to the WCU, please do give us a shout. Some of these roles can be very minor indeed!

Several upcoming event dates were confirmed or provisionally agreed. The Cup Final will take place on 6th May, with dates for the EJ Clark, AOJ, and AGM to be announced once venues are confirmed.

The committee also discussed applications from Carmarthen Chess Club and Pembrokeshire Chess Club to join the league. Carmarthen Chess Club is seeking re-entry after a number of years away (last members from 1980 to 1989). While the club sits just outside the league boundary by approximately half a mile, the committee agreed this was a minimal issue and the application will be put forward at the AGM.

Pembrokeshire Chess Club requested that both home and away matches be played at a shared venue in Carmarthen. Due to concerns over excessive travel for players, particularly those taking part in multiple teams, this request has been returned for revision. The committee is open to reconsidering the proposal if away fixtures are held at appropriate venues.

The league’s Facebook usage was also reviewed. Due to issues such as duplicate posts, over-posting, and content not relevant to both West Wales and Dyfed leagues (both leagues currently contribute), it was agreed that moderation policies will be introduced, with inappropriate posts removed following polite communication with the poster. Additionally, it was noted that West Wales Chess League contributions to the page have been relatively low compared to others. Increasing engagement will be a priority moving forward. Finally, the committee reaffirmed its decision to transition from a Facebook group to a Facebook page. This change will allow for improved analytics, better promotion, and increased opportunities to attract sponsorship. The transition will be gradual to avoid disruption.

Attention was also given to the league’s management structure. To ensure continuity, particularly if key officers step down, documentation will be moved to a shared cloud system. Officers will also complete role summaries outlining responsibilities, timelines, and key tasks. This will make it significantly easier for new volunteers to take on roles in the future and prevent the loss of documentation.

Finally, in Any Other Business, the committee recognised the excellent work being done in the Dyfed area by Kevin Heady, as well as the efforts of White Knights Chess Club in supporting school clubs. The possibility of replicating this success within the West Wales area was discussed, although this will require a dedicated volunteer to take the lead.
